Pre-release testing draft. Not approved for production.

Version: kcb-privacy-2026-09-16-v1

Privacy notice — pre-release draft

This draft describes the application under development, not an approved production privacy policy. Initial testing is limited to invited staff using synthetic test data. Provider settings, retention periods, deletion fulfillment and company approval must be completed before real customer or workforce data is introduced.

Information the app handles

Depending on your role and actions, the app handles account names and contact details; property and project addresses; scope, estimates, approvals and signatures; photos, files, messages and notes; work assignments, time, skills, pay and expense records; and device permission, notification and operational diagnostic information. Access differs for customers, crew and authorized office users.

Why information is used

Information supports account access, construction planning and execution, project communication, customer decisions, work and payment records, safety, support and security. Project records may be shared with authorized participants according to their access. A privacy notice is not permission to disclose information to unrelated projects or users.

Location, camera and photos

Foreground location is requested for relevant work actions such as starting a shift, switching tasks and recording site evidence. Selected photos and camera captures become project records when you submit them. Manage permissions in iPhone Settings. If location or the device is unavailable, use the missed-punch/time-adjustment process with your supervisor; report missing work time rather than treating it as unpaid. Permission denial and recovery require final device acceptance testing.

Service providers and translation

The planned hosted service uses Supabase for authentication, database and private files, and Vercel for the web application and API. When configured, the translation worker sends source text and company glossary/context to OpenAI. Automatic translation must remain disabled for beta until explicit permission and provider-disclosure controls are enforced, including queued jobs. Hosting regions, email/push providers and provider retention settings must be approved before publication. This draft does not authorize third-party AI sharing.

Offline records on your device

The app can keep role-specific records, files and unsent work locally for offline use. An unsent item is not a confirmed server record. A deletion request requires an internet connection and does not erase or submit pending work by itself. Keep the device protected and review pending work before changing accounts or removing the app.

Request account deletion

Open Privacy & account in the iPhone app, review the consequences, verify your current password and submit Request account deletion. You do not need to call or email to initiate a request. Save the receipt and check its status there. The proposed operational target is 30 calendar days from submission, with a completion confirmation. A request is not immediate deletion or cancellation of a contract, payment or work obligation. The current pre-release build records requests; verified data-erasure and completion handling are still a launch blocker.

Retention and your choices

The final policy must identify what is deleted, anonymized or retained, why, for how long and how backups expire. Necessary legal records may require limited retention, but not every business record or shared photo is automatically exempt from deletion. Those decisions and erasure controls are not yet approved.
